Look, we get it - privacy policies aren't exactly exciting reading material. But here at Runeblade Empire Fitness, we're serious about protecting your personal info. This isn't just legal mumbo-jumbo; it's our commitment to you.

When you train with us, whether that's sweating through a HIIT session or getting coaching on your nutrition, you're trusting us with your information. We don't take that lightly. This policy explains what data we collect, why we need it, and how we keep it safe. Think of it as the rules of engagement for your warrior journey with us.

By using our services, website, or stepping into our facility at 1847 Granville Street, you're agreeing to this policy. If something doesn't sit right with you, let's talk about it.

What Information We Collect

Personal Details

When you sign up for membership or book a session, we'll need the basics - your name, email, phone number, and address. Nothing too crazy. We also need your date of birth to make sure our programs are age-appropriate and for liability reasons (yeah, the legal stuff matters).

Health & Fitness Information

Here's where it gets more detailed. To train you safely and effectively, we collect info about your fitness level, medical history, injuries, and goals. If you're working with one of our warrior coaches, we'll track your progress, measurements, workout performance, and nutrition data. This stuff's gold for getting you results, but it's also sensitive, so we guard it carefully.

Payment Details

We need payment info to process your membership and services. Don't worry though - we use secure, encrypted payment processors. We don't store your full credit card details on our systems. That's handled by our payment partners who are PCI-DSS compliant (basically the gold standard for payment security).

Facility Access Data

Our gym has key card access and security cameras. We log when you enter and exit (helps us with capacity management and security). The cameras are there to keep everyone safe and prevent theft. Footage is kept for 30 days then automatically deleted unless there's an incident.

Website & Technical Info

Like most websites, ours collects technical data - IP address, browser type, pages you visit, how long you stick around. This helps us fix bugs and improve your experience. We're not stalking you, just trying to make the site work better.

How We Use Your Information

We're not in the business of collecting data for fun. Everything we gather has a purpose:

  • Providing Services: Can't train you without knowing who you are and what you need. Your fitness data helps us design programs that actually work for YOUR body and goals.
  • Communication: We'll email or text you about class schedules, program updates, facility closures, and yeah, occasionally some promotions (but not spam, promise). You can opt out of marketing stuff anytime.
  • Safety & Security: Health info helps us keep you safe during training. Security footage protects everyone in the facility. Access logs help with contact tracing if needed (learned that one the hard way during the pandemic).
  • Improvement: We analyze usage patterns to figure out what's working and what's not. Maybe everyone loves Thursday night HIIT but nobody shows up for Monday morning weightlifting - that tells us something.
  • Legal Compliance: Sometimes we gotta keep records for tax purposes, insurance requirements, or if there's ever a legal dispute. It's not fun, but it's necessary.

Sharing & Disclosure

We're not selling your data to sketchy marketers. Period. But there are a few situations where we do share information:

Service Providers

We work with third-party companies that help run our business - payment processors, email platforms, scheduling software, that kind of thing. These partners only get the data they need to do their job, and they're contractually bound to keep it confidential.

Legal Requirements

If law enforcement shows up with a valid warrant, or if we're legally required to disclose information, we'll comply. We're not trying to be difficult, but we'll push back on overly broad requests and notify you when legally permitted.

Emergency Situations

If there's a medical emergency, we might share your health information with paramedics or hospital staff. Your safety comes first, always.

Business Transfers

If Runeblade Empire ever gets sold or merges with another company (not planning on it, but you never know), your information would transfer to the new owners. We'd make sure they agree to honor this privacy policy though.

Data Security

We take security seriously. Our systems use industry-standard encryption both when data's moving around (like when you submit a form) and when it's sitting in our databases. Access to member data is restricted to staff who actually need it - our front desk team doesn't need to see your full medical history, for example.

Our website uses SSL encryption (that's the little lock icon in your browser). Our office computers are password-protected and locked when not in use. Paper records are kept in locked cabinets. We back up data regularly in case something goes wrong.

That said, no system is 100% hack-proof. We do our best, but we can't guarantee absolute security. If there's ever a data breach, we'll notify affected members promptly and take steps to fix the issue.

Cookies & Tracking Technologies

Our website uses cookies - not the delicious kind, unfortunately. These are tiny files that help the site remember you and improve your experience. They let us keep you logged in, remember your preferences, and analyze how people use the site.

We use a few different types:

  • Essential Cookies: These keep the site functioning. Can't really opt out of these without breaking everything.
  • Performance Cookies: Help us see what's working and what's not. These are anonymous.
  • Functionality Cookies: Remember your preferences, like if you've dismissed a popup or selected a language.

You can disable cookies in your browser settings, but some features might not work as well. Most browsers also have a "Do Not Track" setting - we respect that.

Your Rights

Under Canadian privacy laws (specifically PIPEDA), you've got rights when it comes to your personal data:

Access

You can ask to see what information we have about you. We'll provide it within 30 days, usually faster.

Correction

If something's wrong or outdated, let us know and we'll fix it. You can update most of your info through your member portal too.

Deletion

Want us to delete your data? We can do that, with some exceptions - like if we're legally required to keep certain records for tax or liability purposes. Once you're no longer a member, we'll delete most of your data after 7 years (that's the legal requirement for business records in Canada).

Opt-Out

Don't want marketing emails? There's an unsubscribe link in every message. You'll still get important stuff like billing notices and schedule changes though.

Portability

Moving to another gym? We can provide your workout history and personal data in a portable format. No hard feelings - we want you to keep crushing your goals wherever you train.

Children's Privacy

We offer programs for teens (ages 14-17), but they need parental consent. If you're under 14, your parent or guardian needs to handle the membership and be present during training. We collect the same type of information for minors as we do for adults, but we require parental permission first.

Parents, you've got the right to review your kid's information, request deletion, or refuse further collection at any time. We take extra care with information about young warriors.

Changes to This Policy

We might update this policy from time to time - new laws, new technologies, changes in how we operate. When we do, we'll update the "Last Updated" date at the top and notify active members via email if the changes are significant.

We won't make major changes to how we handle your data without giving you a heads up and a chance to opt out. Keep an eye on this page occasionally, or we'll let you know when something important changes.
